We are striving to continue to provide you with the usual service in these difficult times.
However, in light of the Government’s advice on minimising gatherings of people and to protect both our you, our staff, our families and friends we are adopting a policy in which, wherever possible, personal contact and the need for you to attend the office is minimised.
Therefore, until circumstances change, we are ask you to deal with us by telephone or e-mail.
In relation to new instructions, we will be happy to arrange appointments by telephone or, alternatively, in other work types and where possible, by way of you initially completing a questionnaire e-mailed to you. From that questionnaire, we should in most circumstances be in a position to draft the appropriate document which will be e-mail out to you for approval and then signing.
We will of course maintain quality and other checks and a form of triage will be carried out on the initial enquiry, particularly by telephone, to assess the need for you to be seen in person. We would therefore ask that if you make an enquiry by e-mail you provide a contact telephone number in the e-mail for this purpose.
In respect of on-going matters, again, we will try as far as possible to deal with matters by e-mail or, if no e-mail address is available, by post. In those circumstances, please ensure that you give to us a contact e-mail address. Please also confirm if you have access to a printer to print off anything which we send to you. If you do not, then anything which requires a signature will need to be posted to you.
Where we send documents to you for signature these will accompanied by an instruction sheet on how the will should be signed.
Please rest assured that any documents returned to us will be subject to a quality check to ensure that documents have been completed and signed correctly. Please however bear with us if for example we need to re-send documents to you to be re-signed because there is an error.
In respect of identification documents, we would ask that you do not send original documents. Photocopies will suffice but please certify the copies as true as follows: “I certify that this [eg Passport] is a true copy of the original” followed by the date of signing and your signature.
In respect of payment, we would ask, where possible, that payment of our account is made by either bank transfer (details will be provided on the correspondence) or by card payment over the telephone to our cash office.
COVID 19 SOCIAL DISTANCING.
If we do need to see you at an appointment at our offices, the Government has announced further measures to slow the spread of the Covid 19 virus.
We are adopting the Govt. recommendations so, please do not be offended if we do not shake your hand. In addition we shall try to retain a distance of 1 metre from you when you visit the office.
Sanitising hand gel is available on Reception and we would encourage you to use it. Only a small amount is required so please be sparing when you apply the gel to your hands.
These measures are intended to follow Govt. advice to protect you and us, including our families and friends, and so we apologise for any offence taken but we are sure that you will understand the seriousness of the situation.
We will review the procedures on an ongoing basis for improvements and until the crisis has subsided and government advice is different.
